TREASURER’S REPORT

We have $160 left in the bank account because we made two credit card payments. We have $700 in the Paypal account. She also has a check that she received in the mail. She is waiting for Paypal to send the money to her account. We are trying to get the username and password from Eric so that we can access the account as the administrator. Laura mentioned that we should change the email address that is on the account so that it will get sent to Diane instead of Eric.

Webster Place

The contract will be sent within the next few days.


Job Descriptions

Julie is still waiting for most of the job descriptions. She currently has about five. Julie will be sending out an email. The deadline is May 1st.


Sam’s Club

We sent around the sign-up sheet. Everyone should put when they will be available to help on that day. We will need help setting up and tearing down. Also, Bob made some flyers to send around reminding everyone of our cookout at Sam’s Club. As of right now, we have 10 volunteers.


Spring Fling

We have the form filled out, but we still need people signed up to bring food and also people signed up to volunteer at the event. We went over the costs of the Spring Fling. The costs are $200 for the hall, $200 for the DJ, and $100 for miscellaneous expenses. That means that we need to sell 50 tickets. We will have tickets and flyers by next meeting. Also, we will put the event on the myspace page for the next meeting. Also we plan to have pictures posted at the dance. Also, we may have a fundraiser in Connecticut during the same night. We have some volunteers from Keystone that offered to help with this fundraiser. Curtis mentioned that we might want to try to have a table at the dance that Keystone is having on May 13th.


Rockwall

Christine will call the rockwall guy to see if they are available that weekend and also how much it will cost. She will bring this up at the next meeting.

Open Discussion

Workshops – So far we have a total of 29 workshops. She was able to book 11 workshops from last year. Curtis asked if we have any time allotted in the tents for meetings. Mary-Ellen mentioned that if people want meetings then they can post them at the information area. We will make the space available; however, it will be up to the patrons to hold their own AA or other meetings. Mary-Ellen has some concerns about making ourselves appear to be affiliated with AA. We are planning to have the larger tent allocated to workshops and having teens use it in the evening. Children’s will then have a smaller tent.

Volunteers – Julie has three houses booked. She has three people on a waiting list to volunteer. She has a total of 39 volunteers at this point in time. She will not need to meet with any of the houses. Spectrum is planning to come to one of our meetings. She needs schedules from many of the directors. She wants to give the schedules to the houses ahead of times so that they will know ahead of time where they will be volunteering. Julie would also like to come up with a cleaning schedule. Julie is hoping that this will help clear up the issues that we usually have on Thursday night. Ted mentioned that Craig and his wife would like to volunteer and help as interpreters. Julie mentioned that it would be nice to invite them to come up and have Craig’s wife, Rachael, interpret for us in the case that we need her for workshops. Having interpreters is beneficial for the quality of our festival for those in need.

Memorabilia – Last meeting we discussed what we will be doing for breakfast. Green Mountain has come through for us. Bob mentioned that we should put together some type of thank-you for them. Curtis believes that we should take a picture of the banner and send it to them with a thank-you. The only change to the logo will be that the lucky will be coming off of the shirts. For memorabilia the cost is expected to be $6,600. They would like to have $3,300 upfront. Ted believes we might be able to work something out with them.

Secretary – The program is getting started. She is still waiting for information and photos from all the activity coordinators. Also, she needs photos of the board members. She also needs the president’s letters and who we will be dedicating the book to. Tony will be sending a schedule to her this weekend. Mary-Ellen will be sending her information soon. Laura still needs information from Christine. Laura will contact the 12 Step Music Festival to see if they would like to advertise with.

Teens – Krissy plans to meet with Laura in regards to teen activities to discuss the DJ and how to go about it.


The next meeting will be April 1th.
